Sign up and log in

Maxdone Android application allows to register and log in with any e-mail address and password

Note: at the moment it is not possible to use social networks credentials (Google, Facebook, Twitter, VKontakte, Yammer) to log in android Maxdone. See FAQ section - Question6 for more details.

Sign up with an e-mail

Precondition: Android device should be online to register and/or log in Maxdone application.

  1. Install Maxdone application on an Android device and launch the app
  2. Click Sign up button at the bottom
  3. Enter your name, for example, John Smith
  4. Enter your e-mail address (this will be your login)
  5. Re-enter your e-mail address
  6. Enter password you would like to use for your Maxdone account
  7. Press Sign up
  8. Click confirmation link in the e-mail you have received from Maxdone

Congratulations - you are registered now!

Log in

  1. Launch Maxdone application
  2. Enter e-mail address as login
  3. Enter password
  4. Press Sign in

Log out

To log out of the application:

  1. Launch logged in Maxdone application
  2. Switch to Settings tab
  3. Press Log out

When user logs out Maxdone application all the local changes which were not synchronized to server yet (due to errors or being offline) are lost.

Home

After successful login Home screen opens for the user. Home screen displays list of tasks from the 'box' selected below:

Task 'boxes'

Home screen is split into four 'boxes' (at the bottom):

  • Today - tasks planned for today
  • Week - tasks planned for the next seven days
  • Later - tasks planned for the future starting with eighth day from now
  • Inbox - tasks not planned for any date or period yet

Number next to each box icon represent number of tasks in the specific box

Create a task

To create a task from the Home screen:

  1. Press round green plus (+) button (at the right bottom corner of the screen)
  2. Enter task title
  3. Enter other task attributes if required (more details on attributes can be found here)
  4. Press Create at the top right corner

New task appears in the defined box at the top of the list.

Task attributes

New task form:

  1. Task title - main task attribute, short summary of what to be done in scope of this task
  2. Task 'box' switch - it is possible to place your task in any of available 'boxes' (Today/Week/Later/Index) without setting any dates
  3. Task start date - this date defines which box the task belongs to. If a box is switched manually later the date is removed
  4. Task due date - this date is informative, shows when this task is expected to be completed. Start date will be set the same as due date if there was no start date before. When Due date is set it is also possible to set time for it.
  5. Recurrent (repeating) task settings - these settings are useful when the same task is required to be done repetitively. See more details here

Task menu

Clicking a task in any list opens horizontal menu.

Menu provides several actions for the task

  • Move the task from one box to another - current box is highlighted with the green color, other (grey) boxes can be selected
  • Edit the task (pencil icon)
  • View task checklist and check/uncheck its items. This menu option appears only if a checklist exists for the task.
  • Delete the task (trash bin icon)

Edit a task

To edit a task:

  1. Click required task to open menu
  2. Click pencil icon
  3. Make required changes for the task
  4. Press Save

Copy a task

To Copy a task:

  1. Click required task to open menu
  2. Click pencil icon
  3. Press Copy on top - a message appears saying that task copy is created
  4. Press Cancel to close original task

Task copy appears on top of the list

Delete a task

o delete a task:

  1. Click required task to open menu
  2. Click trash bin icon
  3. Click Yes in the confirmation message

The task is deleted - it cannot be restored

Complete a task

A task can be marked as completed:

  • directly from the list by clicking circle to the left of the task title
  • from task details screen - open task for editing by clicking pencil icon in the menu, click circle to the left of the title and save

Completed task disappears from the list and appears in Completed list where it can be uncompleted (see more details here)

Tasks sorting

By default newly created tasks appear on top of the list. It is possible to place any task to any position in the list. To change required task position:

  1. Find required task in the list
  2. Long tap the task row
  3. Drag the task up or down
  4. Drop the task at the required position

Recurrent (repeating) tasks

Some tasks has to be performed repetitively - for example, some monthly payments, birthday congratulations etc. For such tasks there are recurrence settings in Maxdone. To make a task recurrent:

  1. Create new task or open existing
  2. Click recurrence settings icon (circle arrow)
  3. In the top right corner of setting dialog change the switch position to ON
  4. Select how often the task should be repeated (daily/weekly/monthly/yearly)
  5. If 'weekly' option is selected select required weekdays by clicking corresponding circles
  6. Change 'every' setting if required. By default it is set to 1 - it means that the task will occur every day/week/month/year
  7. Change how long this task sequence should go on: forever, until a date, a number of events. By default the value is 'forever'
  8. Press Done
  9. By default date for the first task is set to today. Change the date to the required one if the task sequence is expected to start later than today

Now the task is recurrent.

There are some differences between recurrent tasks and usual tasks:

  • Due date/time fields are not displayed for recurrent tasks - the date is set automatically based on recurrence settings
  • Box cannot be changed for a recurrent task - the box is assigned based on the start date
  • Deleting recurrent task deletes the whole sequence
  • When a recurrent task is completed this specific occurrence is removed from the sequence and placed into Completed list as a separate task

A recurrent task can be converted to the usual task by removing recurrence settings:

  1. Open a recurrent task
  2. Click recurrence icon
  3. Change switch to OFF position at the top right corner of the settings dialog
  4. Save the task

Now the task is a usual one.

It is possible to change recurrence settings for a task, but there is a restriction - not possible to set start time to a date earlier than last completed task. For example, there was a task for every day starting on 01/01/2017, the task was performed and completed three times 01/01/2017, 02/01/2017, 03/01/2017. Need to change the task to a weekly. Start date for the weekly task cannot be set earlier than 04/01/2017.

Recurrent tasks can also have hidden date. Hidden date will be increased for the same number of days as the task date. For example, there is a weekly task (Mondays) starting on 02/01/2017, hidden date is set to 01/01/2017 - a day before the task. When first task for 02/01/2017 is completed the next one for 09/01/2017 is created, hidden date for it would be 08/01/2017

Next task of a sequence is created on server - it will appear only after synchronization. So if a recurrent task is completed when application is offline next task would not appear in mobile app until mobile device goes online and synchronizes.

Categories and contexts

Maxdone provides following instruments for grouping the tasks:

  • Categories
  • Contexts
  • Goals

Using these instruments helps to keep focus on the tasks which are significant at the moment. Of course, it is user’s choice to use these instruments or some of them, or not.
Categories and contexts technically are just labels. What they mean is up to the user to decide.

New categories and contexts can be added in Settings - see more details here and here

To set a category or a context for a task:

  1. Open required task for editing.
  2. Press Category (or Context) row to open list of available categories.
  3. Choose required category (or context) from the list

List of categories (or contexts) closes, selected category (or context) is assigned to the task.

To remove the category or the context from a task:

  1. Open required task for editing.
  2. Press Category (or Context) row to open list of available categories - selected category (or context) is marked with the tick.
  3. Press Unset button

List of categories (or contexts) closes, category (or context) is removed from the task the task.

Hidden tasks

To make a task list more readable it is possible to hide some future tasks until a specific date. For example, there is a recurrent yearly task to congratulate someone on his/er birthday or renew an insurance policy - there is no need to see such tasks until a day or two before the task date.

To set 'hide until' date for a task:

  1. Open required task for editing
  2. Press 'Tap to set hidden' - calendar opens with the focus on current date
  3. Select required date
  4. Press Hide
  5. Save the task

If hidden date is in future the task disappears from the list.

To see hidden tasks press eye icon on top of the list . Hidden date is displayed under each hidden task:

Note: by default all tasks which start more than 30 days from now are hidden. In Android application it is not possible to remove this setting, but it is possible to remove this setting in Web application (Settings > Settings > Task > 'Rules for hiding far future tasks').
If there are both, global hide setting and specific task hidden date, hide options applied to a task then the task would become visible on the latest of two dates. For example, there is a task starting on 01/03/2017 (which is more than two months from now) - hidden by global setting (>30 days). Hidden date is set to 25/02/2017 for the task. Task becomes visible on 25/02/2017.

Hide date can be removed any time:

  1. Open required task for editing
  2. Click Hidden date
  3. Press Unhide
  4. Save the task

Now hidden date is removed, task is visible in the list.

Task note

For every task it is possible to add a note:

  1. Open required task
  2. Switch to the second tab
  3. Tap in the note area to open keyboard
  4. Press Save for the task

Note: if the note contains a link it will not be clickable in the note of the task note. This functionality is not implemented yet. To open a link from a note user should copy the link and paste it into mobile browser.

Task checklist

A checklist can be added to any task:

  1. Open required task for editing
  2. Open Last tab with checklist icon
  3. Press green round plus button at the button to add new row
  4. When new row is added type checklist item title
  5. Press round plus again to add new item etc
  6. Save the task

To edit a checklist item:

  1. Open required checklist
  2. Click required checklist item - keyboard opens
  3. Edit item text
  4. Save the task

In Android app it is not possible to change checklist items order - it can be done in Web application.

To remove a checklist item:

  1. Open required checklist
  2. Press trash bin icon for the required item

Checklist item is deleted without any confirmation.

When a checklist is created for a task corresponding it should be accessed from task menu - see here

Tasks

The second application tab Tasks is another place to access the tasks. If on the Home screen the focus is on the grouping tasks by the box then here, on the Tasks screen, the focus is on another groupings - by status (active/completed), by category or context.

Each of the five task groups appears on the screen only if there are any tasks in it. For example, user does not use contexts and inbox then the sceen would not contain these modules.

  • To Do module displays one list of tasks from three boxes - Today, Week, Later. It is almost the same view as on the Home screen but in this list it is possible to move tasks from one box to another by dragging and droping the tasks.
  • Inbox module is the same task list as on the Home screen - content of the Inbox.
  • Categories module allows to roeview tasks grouped by category. Categories management is on another screen - Settings, described here
  • Contexts module allows to review tasks grouped by context. Contexts management is on another screen - Settings, described here
  • Completed module allows to review completed tasks and 'uncomplete' if necessary

As first two modules To Do and Inbox have all the same functionality as task lists on the Home screen described earlier this chapter will not speak about those. Following sections will describe Categories, Contexts and Completed modules.

Tasks: categories

To open the list of categories from Tasks screen just click the pane named 'Categories'.

Each row is a category created earlier. Number in the green circle on the right side represents number of active tasks in this category.

To open list of tasks of a specific category click corresponding row.

Back '<' button in the top left corner allows to go one screen back - from task list to categories list, from categories list to the Tasks main screen.

When a category tasks list is opened all the standard task functionality is available. The only additional feature is that new task is created in the opened category by default.

Note: task list within a category is not split by box - this functionality is planned for the future development

Tasks: contexts

To open the list of contexts from Tasks screen just click the pane named 'Contexts',

Each row is a context created earlier. Number in the green circle on the right side represents number of active tasks in this context.

To open list of tasks of a specific context click corresponding row.

Back '<' button in the top left corner allows to go one screen back - from task list to contexts list, from contexts list to the Tasks main screen.

When a context tasks list is opened all the standard task functionality is available. The only additional feature is that new task is created in the opened context by default.

Note: task list within a context is not split by box - this functionality is planned for the future development

Tasks: completed

To open completed tasks lis from Tasks screen just click the pane named 'Completed'.

This list differs from all other task lists - it displays date/time when the task was completed. The list is sorted chronologically by the completion date - the newest on top. Task sequence cannot be changed.

A task in this list can be:

  • edited
  • deleted
  • uncompleted

To edit a task in the completed list:

  1. Click the task row to open horizontal menu
  2. Click pencil icon to open task for editing

Dates and boxes are not available for a completed task, but notes, checklist, context/category/goal and title can be changed.

To delete a task:

  1. Click the task row to open horizontal menu
  2. Click trash bin icon to open task for deleting
  3. Click Yes in the confirmation message

Task cannot be restored after it is deleted.

To uncomplete a task:

  1. Find required task in the list
  2. Click green tick to the left of the task title

Task is uncompleted - it goes away from the Completed list and appears in the active tasks list it was completed from.

Repeating tasks become the usual ones when they come to the Completed list. So if such task is uncompleted it exists a separate one time task.

Goals

Third tab of the applications is the Goals screen.

This screen lists all goals created by current user ('My goals' section) and shared with current user ('Contributing to' section). Each goal row contains following information:

  • picture
  • title
  • status
  • number of active tasks in the goal (in the green circle)

Create a goal

To create a goal:

  1. On the goals screen press green round plus bottom in the bottom right corner
  2. Enter required attributes - none of the fields is mandatory
  3. Press Create at the top right corner of the screen

Goal attributes:

  1. Goal picture cannot be loaded from the mobile app, only from the web application. This functionality will appear in future. The picture is just displayed in the android Maxdone application.
  2. Goal title - short text describing the goal
  3. Goal description - more detailed goal description
  4. Goal status:
  5. Goal start/end dates define goal execution period

Edit a goal

To edit a goal:

  1. Find the required goal in the list
  2. Click it - list with the goal tasks opens
  3. Click the header with the goal title - screen with the goal attributes opens
  4. Edit required goal attributes (they are described in the previous section)
  5. Press Save (top right corner)
  6. Press back '<' (top left corner) to return to the list of the goals

Delete a goal

Only current user's own goals can be deleted (from the list My goals).
To delete a goal:

  1. Find the required goal in 'My goals' list
  2. Click it - list with the goal tasks opens
  3. Click the header with the goal title - screen with the goal attributes opens
  4. Press Delete (top center)
  5. In the pop-up select one of provided options:
    • Cancel - goal will not be deleted
    • Delete with activities - goal will be deleted with all its tasks
    • Delete - goal will be deleted but its tasks will stay untouched
  6. Press back '<' (top left corner) to return to the list of the goals.

Add a task to a goal

To add new task to a goal:

  1. Find the required goal in the list
  2. Click it to open
  3. Press green round plus button (bottom right corner) to open new task form
  4. Enter required task attributes. Goal is set by default
  5. Press Create

Task is created, it is assigned to the selected goal. The same effect can be reached by creating a task from any other screen and setting the goal manually.

Templates

Fourth screen of android Maxdone application provides the list of goal templates created in Web by the users with special rights:

Each template row shows:

  • picture
  • goal title
  • goal period (days, weeks etc)
  • followers (number of goals created based on the template)
  • creation date/time

To create a goal based on a template:

  1. Click the required template in the list
  2. Change Start date if needed - it is set to today by default
  3. Press green round arrow button in the right bottom corner to create the goal

Goal is created - application displays message about that but stays in the template. To open just created goal go to Goals screen and check My goals list - new goal should be there with the same title and picture as the template has.

Settings

The very last screen of Maxdone app is Settings screen:

Upper area contains:

  • user profile photo
  • user name
  • user e-mail
  • last synchronization timestamp

Then follow five sections:

  • Categories - here user can add/edit/delete categories
  • Contexts - here user can add/edit/delete contexts
  • Settings - several minor settings
  • Send feedback - send e-mail to the support team (support@micromiles.co)
  • Logout - log out of the application

Categories in Settings

To add new category:

  1. Open Settings screen
  2. Press Categories section - list of existing categories opens
  3. Press round green plus button at the bottom right corner
  4. In the opened dialog enter new category title
  5. Press OK

New category is added to the list which is sorted alphabetically. Green number displayed in a category row represents number of tasks assigned to this category.

To edit a category:

  1. Open Settings screen
  2. Press Categories section - list of existing categories opens
  3. Click required category in the list - horizontal menu opens
  4. Click pencil icon in the menu
  5. Change category title as required
  6. Press Save

To delete a category:

  1. Open Settings screen
  2. Press Categories section - list of existing categories opens
  3. Click required category in the list - horizontal menu opens
  4. Click trash bin icon in the menu
  5. Select one of two options - delete with activities or delete

Category is deleted with or without its tasks correspondingly.

To go back to the Settings screen press '< Menu' at the top left corner of the screen.

Contexts in Settings

To add new context:

  1. Open Settings screen
  2. Press Contexts section - list of existing contexts opens
  3. Press round green plus button at the bottom right corner
  4. In the opened dialog enter new context title
  5. Press OK

 

New context is added to the list which is sorted alphabetically. Green number displayed in a context row represents number of tasks assigned to this context.

To edit a context:

  1. Open Settings screen
  2. Press Contexts section - list of existing contexts opens
  3. Click required context in the list - horizontal menu opens
  4. Click pencil icon in the menu
  5. Change context title as required
  6. Press Save

To delete a context:

  1. Open Settings screen
  2. Press Contexts section - list of existing contexts opens
  3. Click required context in the list - horizontal menu opens
  4. Click trash bin icon in the menu
  5. Press Delete

Context is deleted without its tasks.

To go back to the Settings screen press '< Menu' at the top left corner of the screen.

Settings

Checkbox 'Show Maxdone notification' enables quick task add from notification bar.

When checkbox is enabled Maxdone icon is displayed in notification bar. Pull notification bar down and click 'Add new activity' - new task form opens.

 

When user inputs all task attributes and presses Save Maxdone app opens with the list of tasks starting with the just created task.

Version section displays Maxdone android application version.

To open current version changes list click (one short tap) the versions row.

To switch tasks sorting numbers on/off click (one long tap) the versions row. When this option is switched on technical sorting numbers are displayed on the right side of each task row. This is a technical info - may be useful when investigating sorting issues. To switch the numbers off long tap the versions row again.

Send feedback

Press Send Feedback in Settings screen if it is necessary to send feedback, question, bug report or other kind of information to Maxdone support team. The only difference in using this option instead of simply sending an e-mail to support@micromiles.co is that Maxdone app automatically adds app version, android version and device model to the e-mail. This information helps support team in some problems investigation.

Synchronization

There are two ways of synchronization between android Maxdone application and the server:

  • Manual - happens when mobile device is online and user clicks synchronization icon
  • Background - happens every 15 minutes when device is online and Maxdone application is started on it

Last synchronization date and time can be viewed on Settings screen

Widget

Maxdone application has a widget which displays content of Today box and allows to add new tasks.

The widgets management approach differs on different android versions. Here is one of the common ways to add Maxdone widget:

  1. Find free area on the device's screen where Maxdone widget supposed to appear
  2. Tap the area and hold until 'Widgets' and other options appear at the bottom
  3. Click 'Widgets'
  4. Scroll list of available widgets to find Maxdone
  5. Tap Maxdone widget and drag to the free area selected, drop widget there

To change Maxdone widget size:

  1. Long tap Maxdone widget until frame appears for it
  2. Drag the frame to the required size

To delete Maxdone widget:

  1. Long tap the widget until trash bin icon
  2. Drag the widget to the trash bin

Widget displays list of tasks from Today box.
What can be done in the widget:

  • scroll tasks list
  • complete any task in the list by clicking the circle next to it
  • open a task details by clicking a task title
  • refresh by clicking sync icon on top (widget will synchronize only if the device is online and Maxdone app is started on it)
  • add new task by clicking plus icon on top
  • open Maxdone app by clicking widget header with 'Today' title

FAQ

Question1: is it possible to change application language from English to any other?

Maxdone application has English and Russian versions. Application language is derived from the phone language. If phone language is different from these two then Maxdone app will be in English

 

Question2: why task list is not split by the boxes in Categories/Context/Goal view?

This is an uncompleted functionality - planned to be added later.

 

Question3: not all goal attributes are available in Android app (milestones, picture, sharing etc are missing) - why?

This is an uncompleted functionality - planned to be added later.

 

Question4: why Maxdone does not synchronize on a Xiaomi device?

There is a known issue with synchronization on Xiaomi phones. It can be fixed by switching on autostart for Maxdone application. Here is the instruction on how to do that. If Maxdone on a Xiaomi device was synchronizing but stopped try to switch autostart off and on again. Some OS updates seem to be influencing the behavior.

 

Question5: why completed goals still appear in the list?

This is an uncompleted functionality - planned to be added later.

 

Question6: how can I log in Maxdone android app with social network (Google, Facebook etc) credentials, like in Web app?

This is an uncompleted functionality - planned to be added later. If you are already registered in Web through a social network and do not have Maxdone password then go to Maxdone web app, open login screen, click 'Forgot password?', enter e-mail address you are using in the app and press Send. You will receive a link to enter new password for your account. Use this password to access your Maxdone account in Android app.

 

Question7: why Maxdone widget is not available on my phone?

Maxdone widget is not available if application is moved to SD card.
